Equipment Logistics Manager

Mainline Services LLC is a nationwide railroad contractor operating across multiple divisions with over 300 pieces of heavy rail and off-road equipment. We are looking for a Equipment Logistics Manager to join our operations team. This role is hands-on — coordinating trucks and equipment in real time to support derailment response, maintenance-of-way, and heavy construction projects. You’ll ensure our equipment is in the right place at the right time.

Essential Functions:

Daily Dispatch & Coordination

• Coordinate the daily dispatching of trucks, trailers, and heavy equipment to rail and field job sites across multiple states.

• Communicate directly with drivers, operators, and field supervisors to plan loads, routes, and delivery timing.

• Track real-time equipment movement using Samsara or similar systems to ensure efficient utilization and response readiness.

• Monitor job schedules and adjust dispatch priorities based on weather, site readiness, or emergency calls.

• Support 24/7 rail emergency response dispatching.

Field Logistics Support

• Work closely with project managers and field supervisors to plan equipment mobilization and demobilization.

• Coordinate oversize/overweight permit needs and ensure compliance with all DOT and state transport regulations.

• Assist in organizing rail-bound equipment moves, cranes, sidebooms, and other specialty gear used in rail projects.

• Maintain communication between the field and yard for equipment readiness, maintenance needs, and return scheduling.

Fleet Tracking & Documentation

• Log and update equipment assignments, hours, and locations daily in Samsara or company tracking spreadsheets.

• Ensure all CDL and non-CDL drivers complete pre-trip and post-trip inspections (DVIRs).

• Work with the Equipment and Maintenance team to schedule service, repairs, and preventive maintenance around field needs.

• Keep accurate logs for fuel usage, permits, and service requests.

Communication & Problem Solving

• Serve as the main point of contact for field logistics, troubleshooting scheduling conflicts and last-minute changes.

• Coordinate solutions during breakdowns, delays, or weather-related issues to keep projects moving.

• Communicate clearly with drivers and field teams using radio, phone, and dispatch systems.

• Document delays, reroutes, or incidents for reporting and follow-up.

Vendor & Support Coordination

• Arrange and track third-party haulers when internal transport capacity is exceeded.

• Ensure outside vendors meet Mainline’s safety and insurance requirements.

• Assist with rate negotiations and freight coordination when required.

Other Duties

• Assist with equipment load planning and securement requirements.

• Collect and enter logistics data into our field software.

• Support the transportation team during audits, compliance checks, and safety reviews.

• Perform other related duties as assigned.

Requirements and Qualifications

• High school diploma or GED equivalent required.

• 2+ years of logistics, dispatch, or equipment coordination experience preferred (railroad or heavy construction a plus).

• Strong understanding of truck freight logistics, DOT compliance, and oversize/overweight permitting.

• Ability to communicate effectively and professionally with drivers, supervisors, and customers in fast-paced situations.

• Proficiency with Samsara, GPS tracking, Excel, and dispatch systems preferred.

• Valid Commercial Driver’s License (CDL) preferred but not required.

• Strong work ethic, attention to detail, and ability to make decisions under pressure.

Physical Demands

Sitting, standing, walking, driving, climbing/ladders, squatting/kneeling, reaching, grasping, pushing/pulling, twisting/bending, lifting/carrying up to 75 lbs., talking, hearing, close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Expected Hours of Work and Travel

Full-time, Monday through Friday, with overtime or after-hours work as needed. Must be available for emergency dispatch and on-call rotation. Reliable transportation and valid insurance required for local travel to worksites and equipment yards.

Work Authorization

Must be authorized to work in the United States.
